This link is meant to be sent to the participant to help them get started with the app. You can click the link yourself if you want to know what the page looks like for the participant. This page also includes the personal invitation code for the participant.<\/p>\n\n\n\n<p>In the next clip, we give a small demo for this page:<\/p>\n\n\n\n<figure class=\"wp-block-video\"><video controls src=\"\/wp-content\/uploads\/2025\/05\/promo-demo-onboarding-participants-subtitles-1.mp4\"><\/video><\/figure>\n\n\n\n<p>As mentioned in the clip, you can personalize this page by changing the logo, title and welcome text. So here we&#8217;ll explain how you can set up an e-mail to send to all participants in a list.<\/p>\n\n\n\n<p><strong>Why use bulk?<\/strong><\/p>\n\n\n\n<p>It seems daunting at first, as there are a number of steps to follow. But once you&#8217;ve done it once, it will be so much quicker and efficient. Sending individual mails is very error-prone and cumbersome. What you&#8217;ll need<\/h3>\n\n\n\n<p>Here&#8217;s a list of what you&#8217;ll need, so you know upfront if you have everything to accomplish this:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Microsoft Excel<\/li>\n\n\n\n<li>Microsoft Word (that uses the same account as your Outlook)<\/li>\n\n\n\n<li>Outlook <strong>Classic<\/strong> on your desktop (It has to be Classic, the new Outlook doesn&#8217;t allow you to do bulk e-mail (yet?)). Outlook needs to be opened during the sending of the mails, but you actually won&#8217;t really need to do anything in here. Add invitation codes<\/h3>\n\n\n\n<p>We already have a page dedicated on <a href=\"\/knowledge-base\/invite-participants\/#add-a-researcher-by-invitation-code\">how to generate invitation codes and export them<\/a>. So if you&#8217;ve never done that before, go and take a look there. Make sure you remember where you saved the downloaded file, so you can find it back for the following steps.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Add mail addresses to the Excel file<\/h3>\n\n\n\n<p>Open your exported .csv file in Excel. <\/p>\n\n\n\n<p>Save the file as <strong>.xlsx<\/strong> (Microsoft Excel-worksheet\/ Excel Workbook). Choose <strong><em>Excel Workbook<\/em><\/strong> as new type of your file (this will result in .xlsx file extension) and click on \u201c<em>Save<\/em>\u201d. Now the warning should be gone. But we don&#8217;t handle email addresses for privacy reasons, so that&#8217;s something you must add yourself. In the next empty column, you can write \u201cmail\u201d in the top cell and fill the column with all the mail addresses of the participants (don&#8217;t forget to add the header \u201cmail\u201d &#8212; or something similar &#8212; because you&#8217;ll need to reference this header later on). Set up Word for mailing<\/h3>\n\n\n\n<p>Open a new Word document. So for example, put your cursor on the place where you want the invitation code to appear.<\/li>\n\n\n\n<li>Then make sure you are in the <em>Mailings<\/em> tab, then click on \u201c<em>Insert Merge Field<\/em>\u201d (you can find it in the \u201c<em>Write &amp; Insert Fields<\/em>\u201d group). This means that on that place in the document, it will fill in the code of the corresponding row in the Excel. Make sure you&#8217;re still in the <em>Mailings<\/em> tab. Then select \u201c<em>Preview results<\/em>\u201d and again on \u201cPreview results\u201d in the dropdown (if you are on a smaller screen). Now you get to see an example of the first row. Make sure that it looks to your liking.
